Privacy notice
Last updated: October 2026
This notice explains what happens to personal data on this website.
Who is responsible
The website belongs to VRM Solutions LLC, a limited liability company registered in the United States. Mailing address: 1209 Mountain Road Pl NE, Ste R, Albuquerque, NM 87110, United States. This is a mailing address, not an office open to visitors.
Enquiries sent from the contact form go to the VRM Solutions LLC mailbox info@vrmoutdoorconsulting.com. AMAI, the studio that built the website, hosts the website and that mailbox on behalf of VRM Solutions LLC.
What the form collects
- Your name and email address.
- The project stage you choose from the list.
- Your message.
- Your confirmation that you have read this notice (the consent checkbox).
- A hidden anti-spam field that people leave empty.
Please do not include plans, documents, health details or other sensitive information in your message.
Why we use it and on what basis
We use the form data to reply to your enquiry.
The legal basis is the consent you give with the checkbox. Replying to a message you chose to send is also in our legitimate interest, and it does not override your rights because you started the contact. You can withdraw consent at any time through the same form; this does not affect anything done before.
Where the data goes
The website runs on AMAI's own server, rented from Hetzner Online GmbH in its Falkenstein data centre in Germany. When you send the form, that server emails the content to the mailbox info@vrmoutdoorconsulting.com, which is hosted on AMAI's mail server in the same data centre.
Your data is therefore processed in the European Union (Germany). If you write from the United States or another country, your data travels to Germany.
Server logs
Like most web servers, ours records technical access data for operation and security: IP address, browser user agent, the address requested and the date and time. These logs rotate weekly and are kept for about four to five weeks, then deleted.
Abuse protection
To limit abuse, the form keeps a salted SHA-256 hash of your IP address with the time of each submission attempt. Every time anyone submits the form, entries older than one hour are deleted first; an older entry can only remain until that next submission. A salted hash is pseudonymised, not anonymous: whoever holds the salt on the server could link it back to an IP address.
How long we keep it
We keep enquiries only as long as we need them to reply and to handle any follow-up, and then delete them. Logs and abuse-protection records follow the periods above.
What we do not do
We do not sell or share your data, we do not use it for advertising, and this website has no analytics, tracking pixels or cookies. See the cookies and storage page for the one preference it can store.
Your rights
You can ask for access to your data, correction, deletion, restriction or portability, and you can object to its use or withdraw consent. If you live in California, you have the right to know what personal information was collected and to ask for its deletion; we do not sell or share it.
To exercise any of these rights, write to info@vrmoutdoorconsulting.com or use the contact form and say what you need. You can also complain to the data protection authority where you live.
